What is Ministry Memos?+
A governance, compliance and safeguarding platform for UK churches and charities. It gives your trustees one place to manage policies, track compliance against a structured framework, handle safeguarding, and keep a trustee register.
Who is it for?+
Trustees, safeguarding officers, treasurers and staff at churches and charities who want board-ready governance without corporate complexity.
Is the 55-policy framework the Charity Commission's?+
No. The 55-policy framework is Ministry Memos’ own, developed from research into sector standards. It is designed to cover the Charity Commission’s CC3 trustee duties, but it is not an official Charity Commission framework or endorsed by it.
How does the AI policy analysis work?+
When you choose to analyse a policy, its text is sent to our AI provider, which scores it against governance standards, flags gaps and suggests improvements. You decide when analysis runs, and your content is not used to train AI models.
Is there a limit on the AI?+
Your church has a monthly AI allowance, included in the trial and in the plan. It covers policy reviews, questions about your policies and risk suggestions for your whole church. You see how much has been used as a percentage, and we warn you when it is running low. If it runs out, AI pauses until your next month begins and everything else carries on as normal. If you would rather not wait, an admin or finance lead can top up for the price of one month: your allowance is refilled straight away and that day becomes your monthly payment date.
How is safeguarding data protected?+
Safeguarding records are encrypted and kept logically isolated from your other data. Access is restricted to authorised roles — typically your Safeguarding Officer — so sensitive case detail is not visible to the whole team.
Is my data secure and GDPR-compliant?+
Yes. We use encryption in transit and at rest, role-based access, and UK/EU hosting where possible. See our Privacy Notice for full detail on how we handle data under the UK GDPR.
Do policy reviewers need an account?+
No. When you send a policy for review, each reviewer gets a secure, time-limited link that opens the document and lets them approve or request changes — no sign-up required.
What does it cost, and can I cancel?+
Every church starts with a 30-day free trial of everything, with no card needed. After that there is one plan, paid monthly, for your whole church — see Pricing. You can cancel at any time from your billing settings. If you subscribe during the trial, the first payment is not taken until the trial ends. If you don’t subscribe, or you cancel, your records stay available to view and export; you just can’t add or change them until you subscribe again.
Can I export my data?+
Yes. A church admin can download everything from Settings using Export my data: one ZIP file of spreadsheets covering your policies and their wording, AI reviews, compliance register, trustees, risks and team. It works even if your trial has ended or you have cancelled. Safeguarding records and your original uploaded files are not in the download; safeguarding records stay encrypted inside the app, and you can email us if you need the original files. You also have the right to data portability under UK data protection law.
